Terms & Conditions

1. Acceptance of Terms
By accessing or using Spraybook (including the mobile app, web portal, and related services), you agree to these Terms and our Privacy Policy. If you do not agree, do not use Spraybook.
2. Service Scope
Spraybook provides digital spray record tools for individual users and organisations.
- Mobile app: create, edit, delete, export records, and add supported image attachments to records.
- Web portal: organisation management, team visibility, attachment viewing, and export workflows.
- White-labelled exports: available for eligible organisation plans via the web portal.
3. Accounts, Tiers, and Roles
Spraybook accounts may be on free, legacy, pro, or org tier.
- Org users are associated with an organisation and have an org role (owner or member).
- Organisation owners/admins manage organisation membership, permissions, and plan access.
- Members are managed under the organisation plan and do not independently manage organisation billing.
4. Subscriptions and Billing
- Individual subscriptions: purchased in-app through Apple App Store or Google Play.
- Organisation subscriptions: managed externally by organisation owners/admins through organisation billing tools.
- Spraybook supports individual in-app subscriptions and organisation business plans that are managed or upgraded externally by organisation owners/admins.
- Subscription pricing, currency, tax treatment, and renewal terms may vary by jurisdiction and billing setup.
- Where applicable, subscriptions renew automatically until cancelled through the relevant billing channel.
5. Organisation Features and Access
- Organisation owners may create organisations, invite members, add/remove users, and manage roles and settings in the web portal.
- Organisation owners may view all organisation entries in the mobile app and web portal, and can export organisation records.
- White-labelled exports are available only for eligible organisation plans via the web portal.
- Organisation members have feature access based on the active organisation plan and role permissions.
6. Data, Exports, and Backups
You are responsible for maintaining your own business records and compliance obligations. We perform routine backups, but we do not guarantee uninterrupted availability, zero data loss, or successful restoration in every case.
Records may include text, structured operational data, and supported image attachments. Unless a feature expressly states otherwise, exports may not include every attachment or media item associated with a record.
All users and organisations should regularly export and independently back up important records and attachments.
7. Image Attachments and User Content
Spraybook may allow users to upload images as supporting evidence for spray records, such as site photos, product labels, application context, or related field notes. You are responsible for the images and other content you upload, including ensuring you have the right to upload and store that content.
- Do not upload unlawful, harmful, misleading, confidential, or inappropriate content.
- Do not upload images that contain personal information or third-party confidential information unless you have a lawful basis and required permissions.
- Image attachments are supplementary record evidence. The primary compliance record remains the structured spray record you create in Spraybook.
- For organisation records, authorised organisation owners, admins, or members may be able to view record attachments according to their role permissions.
- Attachments linked to organisation records may remain available to the organisation after the uploading user leaves the organisation or deletes their personal account, subject to applicable law and our retention practices.
8. User Responsibilities
- Provide accurate account information and keep credentials secure.
- Use Spraybook in compliance with applicable laws and regulations.
- Do not share accounts or bypass role, plan, or security restrictions.
- Verify operational decisions independently; Spraybook outputs and weather inputs are assistive tools only.
9. Third-Party Services
Spraybook relies on third-party providers for infrastructure and supporting operations, including Google Cloud for core hosting and data infrastructure, and external providers for billing, communications, and analytics. We are not responsible for outages, delays, or failures caused by such third-party services.
10. Warranty Disclaimer
To the maximum extent permitted by law, Spraybook is provided on an "AS IS" and "AS AVAILABLE" basis without warranties of any kind.
11. Limitation of Liability
To the extent permitted by law, Spraybook is not liable for indirect, incidental, special, consequential, or punitive damages, including loss of profits, business interruption, compliance penalties, and loss of records/data.
Spraybook's aggregate liability for all claims related to the service is capped at the fees paid by you (or your organisation, as applicable) in the 12 months before the event giving rise to the claim.
12. Suspension and Termination
We may suspend or terminate access where reasonably required, including for security, billing, misuse, or material breaches of these Terms.
13. Changes to Terms
We may update these Terms from time to time. Your continued use after an update takes effect means you accept the revised Terms.
14. Governing Law
These Terms are governed by the laws of Australia, subject to mandatory laws that apply in your jurisdiction.
